Consulting by English Department Faculty

Policies and Procedures

Consulting is an activity performed by a faculty member for compensation as a result of his/her expertise or prominence in his/her field while not acting in his/her official capacity as a State employee (i.e. in his/her own time.) The University's Laws and Bylaws prohibit faculty from consulting on "time due to the University."

Activities that may be considered “consulting” include, but are not limited to, making a presentation, giving a lecture, or valuating a grant proposal or manuscript – anything you are paid for outside your university employment that uses your expertise. Questions regarding what constitutes “consulting activity” may be directed to Ilze Krisst in the Consulting Office.

To obtain approval to be paid for a consulting activity faculty must complete the Consulting Approval Form. Note that the form is frequently updated and the current form is always posted on the website.  Please get your form from the website to be sure you have the most current version.

 

Faculty must submit the form for approval regardless of the amount of remuneration. However, if the consulting is of an academic nature and provides payment of $500 or less, the approval can be submitted on a fast track. See below (steps #2 and #4) for fast track procedures.

 

The form must be submitted well in advance – ideally at least 3 working days before the start date of the activity, not the date that payment is expected. Forms submitted on or after the activity start date will not be approved.   However, if the full activity period is long enough, it might be possible to adjust the start date.  See Robin Worley in this instance.  

 

1.      Download, complete, and sign the form. 

a.       Note: If you enter zero under “Total Number of Days (excluding time you are not normally expected to be at work),” provide a written explanation and attach it to the form (e.g., “All work will be done during a weekend”).

b.      If the End date for the activity is later than the last day of the current academic year (6/30), a new form will have to be completed for activity starting and/or continuing July 1 or later.

 

  1. If the consulting is of an academic nature and provides payment of $500 or less – the approval can be fast tracked. Check the “fast track” box on page 2 of the form below the space for the Department Head’s signature.

 

  1. Give the form to Robin Worley for Department Head’s signature.

 

4.      If the form can be fast tracked, Robin will fax it to the Consulting office. Fast track forms do not require the Dean’s signature, and Robin will fax it directly to the Consulting Office. The original will be sent to the Consulting Office. Copies will be maintained in the Department as well as in the Dean’s Office.

 

  1. If the form cannot be fast tracked, Robin will deliver it to the Dean’s office. Once approved by the Dean, the form will be mailed or may be faxed to the Consulting Office.  The original form(s) will be sent to the Consulting Office for their files. A pending copy will be maintained by the Dean’s Office.

 

  1. Once approved, a copy of the approved form will be returned to the faculty member, the Dean’s Office, and the Department.

 

If the consulting activity cannot be approved, the only options are for the faculty member to either refuse payment or turn the payment over to the University. If payment is turned over to UConn, it will be deposited in the English Department’s account.  It would then be up to the Department Head to determine how to spend the money.
